These policies help protect appointment time, support privacy, clarify communication, and create a respectful care experience for every patient.

Consent for Treatment

By engaging in services with Novascend Neurowellness, you consent to psychiatric evaluation, treatment, and/or psychotherapy. While treatment can be highly beneficial, results cannot be guaranteed. You may discontinue services at any time.

Confidentiality is respected and protected, with legal exceptions including risk of harm to self or others, abuse or neglect of a child, elder, or dependent adult, court orders, or other legal requirements.

Full Consent for Treatment is available in patient intake forms and upon request.

Privacy & HIPAA Compliance

Your privacy matters. Novascend Neurowellness follows HIPAA and California privacy laws.

Protected health information may be used or disclosed only for treatment, payment, healthcare operations, legal requirements, or safety-related concerns.

Telepsychiatry & Electronic Communication

Secure telepsychiatry services are offered for California residents located in California at the time of their appointment.

  • Telehealth may differ from in-person care
  • Technology issues may occur
  • Telehealth is not appropriate for emergencies
  • Sessions are not recorded without written consent

Email communication is optional and carries inherent privacy risks. Email is not used for emergencies.

Voicemail & Call Return Policy

Routine voicemail messages are generally returned within 24 to 48 business hours.

  • Please leave your name, phone number, and a brief reason for your call
  • For privacy, avoid leaving detailed health information in voicemail
  • Messages received after business hours, on weekends, or on holidays are reviewed the next business day
  • Voicemail is not monitored continuously and should not be used for emergencies
  • Clinical questions, refill requests, forms, and coordination needs may require an appointment or additional processing time

If you are in immediate danger or experiencing a mental health emergency, call 911, go to the nearest emergency room, or call or text 988 for crisis support.

Call-return times are estimates and may vary depending on clinical urgency, office volume, and the nature of the request.

Scheduling & Cancellation Policy

Your appointment time is reserved exclusively for you.

  • 48 hours’ notice is required for cancellations or rescheduling
  • Late cancellations or no-shows are charged the full session fee
  • Arriving more than 15 minutes late may be treated as a late cancellation
  • Repeated missed appointments may result in termination of care

Payment & Fees

A valid credit card is required on file prior to your first session.

  • Payment is due at the time of service unless otherwise arranged
  • Forms, letters, extended calls, and legal matters may be billed separately
  • Reports, coordination, and record review may involve additional fees

Controlled Substances Policy

If controlled medications are prescribed, additional safeguards apply.

  • One designated pharmacy
  • Prescription monitoring database checks
  • Possible urine drug screenings
  • No early refills without documentation
  • Secure medication storage

Failure to follow controlled substance policies may result in discontinuation of controlled medications.

Insurance Billing

Novascend Neurowellness is not currently contracted with insurance plans.

Superbills may be provided when appropriate, but reimbursement is not guaranteed. Patients are responsible for understanding their benefits, deductibles, copays, out-of-network coverage, and non-covered services.

Use of AI Scribe Technology

With your consent, AI scribe technology may be used to assist with clinical documentation.

  • Used only to support documentation
  • Does not replace provider judgment
  • Used in a HIPAA-compliant manner
  • Audio is securely discarded after sessions when applicable

Medical Records Requests

You may request copies of your medical records at any time.

Requests must be submitted in writing and may take time to process in accordance with legal and clinical documentation requirements.

Request for Medical Records is available upon request.
